Stop using your PowerPoint slides as a data dump for your audience

In short: Most presenters accidentally turn their slides into a sedative. When you cram every statistic and bullet point onto a screen, you aren't presenting; you are simply reading. To keep an audience engaged, you must shift your focus from delivering information to driving home memorable ideas.

The primary failure of modern presentations is the 'data dump.' Many speakers attempt to aggregate every fact and number their department has compiled over a year and force them into a sequence of slides. This approach is fundamentally ineffective because it forces the audience to attempt to read text on a screen from fifty feet away, a distance that makes reading a screen nearly impossible compared to the comfortable proximity of a book or an iPad.

To avoid putting your audience to sleep, follow the rule of one idea per slide. A single slide containing a heading and six bullet points actually represents six distinct ideas, which overwhelms the viewer. Instead, use the software to supplement your spoken message. The most effective slides use images rather than dense text to make your concepts more memorable and bring your examples to life through visual storytelling.

Crucially, the presenter should not be competing with the screen. If a slide is being displayed, you should stop speaking and allow the audience to focus on the visual. A sophisticated strategy involves managing two separate documents: a detailed, text-heavy PowerPoint containing all the technical data that can be emailed as a handout or distributed in advance, and a secondary, stripped-down presentation for the big screen. This second version should be focused entirely on single images and singular ideas, ensuring the audience remains focused on your narrative rather than reading your notes.
